Bexio alternatives: Bexio, Abacus or a custom CRM for your Swiss SME?

Bexio and Abacus are good Swiss accounting tools: keep them for that. If it is the tracking of customers and quotes that limits you, there are three routes: stay with the CRM module of your accounting tool, move to a full suite, or keep your accounting and connect a dedicated CRM on top. The third avoids migrating your books.

Let us start by defending Bexio and Abacus. They are excellent pieces of software. For the accounting, invoicing, VAT and payroll of a Swiss SME, they do the job better than any home-made workaround. If you keep your books in them, change nothing.

The misunderstanding starts elsewhere. Both tools offer a “CRM module”, and that is where many business owners get caught, not through bad faith on the vendor’s part, but through a misplaced expectation.

A good accounting tool is not a good CRM

Bexio and Abacus were designed around the accounting entry. The customer exists there first as the recipient of an invoice. Their CRM module adds an address book and basic tracking, which is enough to tick the box on the product sheet. But steering a sales relationship is something else: following a prospect over three months, following up at the right time, knowing which quote is waiting for an answer, keeping the history of conversations in one place.

Asking accounting software to do CRM is like asking an excellent accountant to run your sales force. Competent, serious, and completely outside their trade.

The classic result: the salesperson hates entering notes in the accounting tool, so they go back to their notebook and their inbox. The information scatters. And there you are with a “CRM” that nobody uses, paid for every month.

Three situations, three answers

You manage your customer relationships in Excel

Then the real subject is not Bexio versus Abacus. It is that the spreadsheet has reached its limit. Start with replacing Excel with software: when and how. Read it before choosing a tool: it often changes the order of priorities.

Your CRM need is simple and standard

A few contacts, little follow-up, a short sales cycle. Bexio’s module may be enough, and paying for more would be a waste. Be honest about your real complexity: not everyone needs a sophisticated system.

Your customer relationships are your engine

Many quotes, long cycles, several people dealing with the same customer, follow-ups that make the difference between a signed deal and a forgotten one. Here, the CRM module of an accounting tool will hold you back, and a custom CRM becomes an investment, not an expense.

The false alternative

The choice is often presented as “keep Bexio” or “replace everything with custom software”. That is wrong, and it is even the worst way to frame the problem. The right approach keeps each tool on its own strong ground: Bexio or Abacus for accounting, a dedicated CRM connected on top for the sales relationship and quotes. The two talk to each other through an API. You lose nothing, you fill the gap.

This is precisely what the CRM and Quotes modules of Ryze OS do. The salesperson works in a tool designed for them, the quote is generated and tracked without re-entry, and the approved invoice goes cleanly back to your existing accounting. Nobody migrates their books. Nobody fights their software.

What the Ryze team sees most often is SMEs that already have a tool, just so they can say they have one. Accounting software with a CRM module bolted on, a horizontal tool that does a bit of everything but is not really cut out for anything. And next to it, in day-to-day reality, people keep managing a good part of the customer relationship through WhatsApp, email and Excel notes lying around on personal computers. The CRM exists, but nobody really uses it because it does not match the way they work. The problem is that nobody has yet offered them a vertical solution, an application built specifically for their industry and the reality of their trade. This is very new. So when we arrive with this kind of proposal, people step into the unknown and that can be frightening: there is migration, training and support to manage. But that is also exactly what creates lasting value, a technology built for them, that evolves with them. What Bexio or Abacus, however good they are for accounting, will never be able to offer is an AI-native, self-learning infrastructure, built from the start to evolve with language models. They have hundreds of thousands of existing customers. They cannot rebuild everything on a new technological base without shaking everyone up. We built everything on LLMs from day one. Structurally we are one step ahead, and that gap is not going to close.

What the integration looks like in practice

The word “API” puts many business owners off, so let us translate it into an everyday gesture. Your salesperson opens the CRM, finds their customer, and creates a quote in two minutes with the right prices. The customer accepts. With one click, the approved quote goes to Bexio, which generates the invoice and tracks it as before. Nobody has re-entered the customer’s name, the amounts or the VAT. The information travels once, cleanly, from sales to accounting.

What disappears is double entry and the errors it brings: an amount copied wrongly, a customer created twice with two spellings. Each tool remains master in its own house: Bexio does not do CRM, the CRM does not do accounting, and they hand over to each other at the right moment. It is exactly the opposite of a “big system that does everything” and that nobody masters.

A practical point before you start: not all accounting tools open their doors in the same way. Bexio exposes a documented API that makes this dialogue simple; Abacus, depending on your version and your installer, sometimes requires a little more work to connect a third-party system cleanly. It is never a deal-breaker, but it is the first question to ask, even before you choose your CRM. A good provider checks this point beforehand rather than discovering it in the middle of the project, when it is too late to change approach.

What to keep from your accounting tool

At the risk of repeating ourselves: do not touch what works. Bexio and Abacus are solid on Swiss VAT, payroll, year-end closing and accounting compliance. These are areas where a mistake is expensive and where these tools have proven themselves in thousands of companies. Wanting to redo that as custom software would be absurd, and we advise any SME against venturing there.

Custom software only makes sense where the standard tool holds you back: the sales relationship, the tracking of quotes, the processes specific to your trade that Bexio does not know. The right architecture does not set the two against each other. It puts each one where it is best, and makes them work together.

Keeping Bexio for accounting and getting your data out: how to do it

Two questions come up often: “can I export my Bexio data?” and “do I have to move to Odoo to get more?”. The answer to both comes down to the same idea: your data must be able to move, without you having to leave your accounting.

Bexio publishes API documentation that covers contacts, quotes, orders, invoices, accounting, items, projects and files, among others (consulted on 6 October 2026). A third-party tool that you authorise can therefore read this data and write to it. For a manual export, the possibilities depend on your subscription: check them in your account or with Bexio’s support.

The custom layer sits on top, in this order: you list the data to migrate, you decide which tool is the reference for each item (the customer in the CRM, the invoice in Bexio), then you connect the two. Nothing is migrated by force, and the accounting history stays where it is. If you are comparing with a full suite, read Odoo or custom software. Bexio too limited? The alternatives for a Swiss SME

Before looking for a Bexio alternative, look at what really limits you. The answer is not the same depending on whether the problem comes from the price, the accounting or the tracking of customers.

How much does Bexio cost? Public prices on 7 October 2026

Here is what Bexio’s pricing page shows on 7 October 2026. Prices exclude VAT and can change: check them before deciding.

The same page states that payroll is not available in the Basic package, that it is an add-on in the Advanced and Optima packages, and that it is included in the Ultimate package for 25 employees. Bexio offers a 30-day free trial. Two sentences on that page matter if you think you may change one day: the subscription can be cancelled for the end of the billing period following the current one, and the data can be exported from the software.

Bexio or Odoo? Public prices compared for 5 users

Bexio and Odoo do not sell the same thing: Bexio is accounting and invoicing software, Odoo a full suite (sales, inventory, accounting and other applications) billed per user. To set the orders of magnitude, here is what their pricing pages give for a team of 5 people.

If what you need is Swiss accounting, Bexio costs less per month and stays simpler. If you want sales, inventory and accounting in one tool, Odoo compares with a full migration, implementation included. And if what is missing is the follow-up of customers and quotes, the third route on this page avoids both migrations. The details of Odoo’s plans are in Odoo or custom software.

And the budget, in practice?

A custom CRM is not reserved for large organisations. A first scope (pipeline, customer records, quotes) starts at around CHF 800 at entry level depending on the modules activated, and a complete, branched-out solution is closer to CHF 8,000. Between the two, it is sized to your reality, and the first module is delivered in about two weeks.

The real saving is not in the price of the licence. It is in the quotes that no longer fall into oblivion and in the hours your team stops losing looking for information. That is also why it is worth first identifying the process that costs you the most, before choosing a tool: the method is detailed in where to start with automation.

The signs that the CRM module is no longer enough

How do you know whether you have outgrown what your accounting tool can do on the customer side? A few symptoms do not lie. Your salespeople keep their notes somewhere other than in the system, because filling it in slows them down. You discover quotes that were never followed up when tidying up, not in real time. On a Monday morning, nobody can say how many deals are in progress and at what stage.

Add to that the impossibility of finding a customer’s history without digging through three inboxes, and the fact that when a salesperson leaves, half of their knowledge of the accounts goes with them. If you tick three of these boxes, the problem is no longer accounting. It is that your sales relationship runs on a tool that was never designed to carry it, and every month that passes costs you deals you do not even see slipping away.

How to decide

Ask yourself a single question: is the customer relationship at the heart of what keeps the company alive, or a side matter? If it is a side matter, keep the module of your accounting tool and move on. If it is the engine, do not entrust it to software that was not designed for it.

Frequently asked questions

What is the best Bexio alternative for a Swiss SME?

It depends on what limits you. If it is the accounting itself, compare with another accounting package or a full suite. If it is the tracking of customers and quotes, you do not need to leave Bexio: keep it for accounting and connect a dedicated CRM on top. That is often the least risky route, because your books do not move.

How much does Bexio cost?

On 7 October 2026, Bexio’s pricing page shows four packages, excluding VAT: Basic at CHF 35 per month with annual billing (1 user), Advanced at CHF 42 (2 users), Optima at CHF 69 (5 users) and Ultimate at CHF 119 (25 users). With monthly billing, each package costs CHF 10 more per month. Check these prices on Bexio’s website before deciding.

Can you export your Bexio data to move to another tool?

Bexio states on its pricing page that data can be exported from the software, and publishes API documentation that covers contacts, quotes, invoices and accounting, among others. Before you cancel, run a full export, open it and check that it really contains the history you will need.

Can you keep Bexio and add only a CRM?

Yes. Bexio remains your accounting and invoicing tool, and a dedicated CRM handles the tracking of customers and quotes. The two exchange data through Bexio’s API: the accepted quote goes to accounting without re-entry.

Bexio or Odoo: which one should you choose?

Bexio is Swiss accounting and invoicing software; Odoo is a full suite billed per user. For 5 users, the pricing pages show CHF 69 per month excluding VAT for Bexio Optima (recorded on 7 October 2026) and €124.50 per month for Odoo Standard with annual billing, €99.50 for the first 12 months (recorded on 6 October 2026), implementation not included. Keep Bexio if accounting is what you need, look at Odoo if you want sales, inventory and accounting in a single suite, and connect a CRM to Bexio if only sales follow-up is missing.

And what about Abacus?

The reasoning is the same: keep Abacus for accounting and payroll, and look at what you are missing next to it. We did not find a public price list for Abacus: ask the vendor or your integrator for a quote, and raise the question of connecting a third-party tool straight away.

Does nobody really use your current CRM?
