RYZE SYSTEMS

INDUSTRY · LAWYERS & LAW FIRMS

Structure your files, follow-ups and legal workflows.

Ryze OS connects the existing tools of law firms, notaries’ offices, legal service providers and in-house legal departments, automates repetitive administrative workflows and gives clearer visibility over client requests, documents, deadlines, internal tasks and reporting.

The aim is not to produce a legal opinion, but to make operational execution more structured, more traceable and easier to steer, with human approval at the centre.

Observation

In a law firm, complexity is often operational.

Legal teams handle sensitive files with many exchanges, documents to collect, deadlines to track and shared responsibilities. The difficulty often comes less from expertise than from the scatter of day-to-day workflows.

Multi-channel client requests without uniform qualification

Intake and expected documents tracked differently from team to team

Documents, notes and matter context split between tools

Deadlines, appointments and reminders driven by manual prompts

Handovers between lawyers and administration with little visibility

Document reminders and confirmations handled case by case

Reporting on files, priorities and workload rebuilt by hand

Limited management visibility over owners and blockers

Approach

Ryze OS connects your tools without replacing your legal judgement.

Ryze OS adds an infrastructure layer around your existing tools: intake, CRM, email, documents, calendars, tasks, internal assistants and reporting. Automations handle administrative repetition; sensitive approvals remain human.

Connect what exists, without imposing a wholesale replacement.

Where access, exports or APIs allow it, Ryze OS links the sources the firm already uses in order to structure follow-ups, reduce double entry and make next actions more visible.

Modules

Concrete workflows for law firms, legal departments and administrative teams.

Ryze OS modules support coordination, preparation and operational follow-up. They do not automate legal opinions, professional recommendations or final decisions.

Intake and routing of client requests

A new request is categorised, enriched with the available information and routed to the right person for qualification.

Tracking of files and tasks

A matter shows its owner, the expected items, the next appointment and the administrative tasks to handle.

Collection of documents and supporting items

A missing document triggers a task or a prepared reminder, with human approval before any sensitive message is sent.

Deadline and appointment reminders

Before a deadline, the team sees the incomplete items, the person responsible and the next administrative action to carry out.

Lawyer / assistant / administration handovers

When a file changes phase, the useful context, the expected documents and the open tasks are prepared for the next team.

Internal AI assistants for summaries

An internal assistant prepares an operational summary of exchanges or notes for review by a qualified professional.

Steering dashboards

A dashboard highlights files without recent action, expected documents and the operational deadlines to watch.

Governance

Automation supports execution. Control stays within the firm.

Legal files call for caution, operational confidentiality and approval. Ryze OS is designed to clarify responsibilities, access rights, routing rules and approval steps, without taking the place of professionals.

You stay in control.

Rules define who sees what, who approves, which information stays internal, which messages need a review and which exceptions must be handled manually.

Ryze OS does not provide legal advice and does not decide in your place.

Analyses and final decisions remain approved by the competent professionals.

Workflows follow your tools, access rights and automation limits.

Automations handle reminders, statuses, summaries and reporting.

AI assistants prepare and summarise, without any legal recommendation.

Dashboards show owners, blockers and exceptions in follow-up.

Expected result

More clarity on files, without promising to automate the law.

The stakes are pragmatic: reduce scatter, improve coordination and make next actions more visible, while keeping human approval for analyses, communications and sensitive decisions.

More consistent intake across channels, qualifications and owners

Better visibility over files, documents and deadlines

More regular administrative reminders, decisions not automated

Clearer handovers between lawyers and administration

Less time lost rebuilding the context of files

Clearer reporting on priorities, workload and blockers

Illustrative mini case

Before / after, in practice

Illustrative scenario for a law firm, not a named client case.

  • Reminders for due dates and deadlines, always with human approval
  • Board of open files, owners and next actions
  • Preparation of internal summaries and checklists before review by the lawyer

After

FAQ

Frequently asked questions

Practical answers for a law firm.

Does Ryze OS give legal advice?

+

No. Ryze OS is an operational layer: it helps to structure, prepare and follow up. It provides no legal opinion and does not replace the qualified decisions of the lawyer, who keeps the approval.

How is professional secrecy preserved?

+

Access rights, human approvals and automation limits are defined during the audit. Data is hosted in Europe, in line with the GDPR and the Swiss FADP, and every sensitive workflow keeps human approval.

Can procedural deadlines and due dates be tracked?

+

Ryze OS helps to make due dates visible and to trigger reminders. The final check of deadlines remains the responsibility of the firm: the tool assists tracking, it does not take its place.

Does it replace our practice management software?

+

No. Ryze OS connects to existing tools when access allows it and links the workflows. A replacement is only considered if the audit shows that a tool really blocks the work.

How do you get started?

+

With the Ryze OS audit: a map of incoming requests, files, deadlines and the automations to install first, within a framework that keeps human approval.

Do you want to identify the workflows in your firm that can be connected, automated or clarified first?

The Ryze OS audit maps your incoming requests, files, documents, deadlines, internal tasks, access rights, approval rules and reporting before a careful operational architecture is defined.
