Custom software cost in Switzerland: what really moves the quote
Katia Ryze, an AI-generated character. Article prepared with AI and reviewed by the Ryze Systems teamWhy does the price of software vary so much?
Two SMEs of twenty people can receive very different quotes for “a custom CRM”. That is not a sign of dishonesty. The two quotes simply do not describe the same work. Here are the items that weigh the most.
| Factor | What pushes the price up | What brings it down |
|---|---|---|
| Scope | Several processes delivered at once | A single process to start with, the others later |
| Integrations | Tools without a documented interface, double entry to remove everywhere | One or two tools that expose an API |
| Data migration | Scattered files, duplicates, different formats | A clean export, sorting rules decided beforehand |
| Business rules | Many exceptions, special cases and approvals | One rule, written down and accepted by the team |
| Roles and permissions | Several profiles, sensitive data, an access log | Two or three simple roles |
| After delivery | High availability, extended support, frequent changes | Standard maintenance, planned changes |
The first lever is almost always the scope. A project that wants to replace everything on day one is expensive and arrives late. A project that starts with the most costly process pays for itself faster. The method for choosing that first process is described in where to start with automation.
Fixed price or time and materials: two ways to pay, two different risks
In Switzerland, building software generally falls under a contract for work and services or a mandate, depending on what is promised. The Swiss Code of Obligations sets two rules worth knowing before you sign. They apply to contracts governed by Swiss law; other countries have their own rules.
- Fixed price (Art. 373 CO). The contractor must carry out the work for the agreed sum and cannot claim an increase, even if the work turned out heavier than planned, except in extraordinary circumstances that could not be foreseen, which a court assesses (para. 2). In return, you pay the full price even if the work turned out lighter. The risk sits with the contractor, who covers it with a very precisely written scope.
- Price according to the value of the work (Art. 374 CO), known as time and materials. You pay for the time spent and the expenses. The risk sits with you. If an approximate estimate was given and it is exceeded to an excessive degree without you being the cause, Art. 375 CO allows you to withdraw from the contract.
Rule of thumb: a fixed price when you can describe the result, capped time and materials when you still have to explore. These articles give the general framework. They do not replace having your contract read by a lawyer. The points to include in that contract are detailed in our guide to the requirements specification and the development contract.
How long does it take to develop software?
The lead time depends mostly on three decisions that are yours: the size of the first scope, how fast you answer questions, and the quality of the data to migrate. A team often waits longer for an internal approval than for a line of code.
Ask for a schedule in stages, with what is delivered and testable at each stage. A schedule that only shows an end date does not let you see a delay before it is too late.
How to read a quote for custom software
Before comparing two totals, check that each quote answers these eight questions.
- Is the scope described by what the user can do, and not only by module names?
- Is the migration of your current data included, and up to what volume?
- Are the integrations with your tools (accounting, email, telephony) named one by one?
- Are testing and team training priced?
- What is the monthly cost after delivery, and what does it cover (hosting, fixes, improvements)?
- Does the price depend on the number of users?
- How is a change request priced and approved?
- Who owns the source code at the end, and where is the data hosted?
Then add the build cost and thirty-six months of monthly cost. It is this three-year total that should be compared, not the entry price. The same calculation is used to compare with a subscription from the market: the method is in custom software or off-the-shelf tool.
The prices Ryze Systems publishes
We do not publish a price list, because the price depends on the scope. The model, however, is public: an initial investment, then a monthly subscription for hosting, support and improvements, with no per-user billing. Two reference points already appear on this site:
- a first automation sprint for an SME of 10 to 50 people is around CHF 4,500 as a one-off, plus the monthly subscription, delivered in two to four weeks (source);
- a first CRM scope (pipeline, customer records, quotes) starts at around CHF 800 depending on the modules activated, and a complete solution is closer to CHF 8,000 (source).
These are reference points, not a quote. The online diagnostic gives an indicative range for your case, and the exact amount is confirmed after an audit of your processes.
Frequently asked questions
How much does custom software cost for an SME in Switzerland?
There is no single price: the amount depends on the number of processes covered, the tools to connect, the migration of your data and the hosting. A serious quote separates these items. Always ask for the build cost and the monthly cost after delivery, then add them up over three years.
Fixed price or time and materials: which should you choose?
A fixed price suits a scope that is written down and stable: under the Swiss Code of Obligations, the contractor carries out the work for the agreed sum. Time and materials (billing for time spent) suits a need that still has to be explored. Many projects combine the two: a first module at a fixed price, later changes billed by time with a cap.
How long does it take to develop custom software?
The lead time follows the scope, not the size of the company. A first module limited to a single process is delivered in weeks; a system that replaces several tools at once is counted in months. The safest way to shorten the lead time is to reduce the first scope, not to rush the team.
Why can two quotes for the same project differ by a factor of three?
Because they do not price the same thing. One includes data migration, testing, training and maintenance, the other does not. Before comparing totals, align the scopes line by line with the checklist in this article.
What happens if the quote is exceeded?
Under Swiss law, with a fixed price the contractor cannot in principle claim an increase. With an approximate estimate, the Swiss Code of Obligations gives the client the right to withdraw from the contract if the overrun is excessive and not caused by the client. Have the contract state how change requests are priced, and check your own case with a lawyer.
